How It Works
Month 1: Discovery & Onboarding
- We spend focused time understanding your context. If you just completed the Blueprint, we're building on that clarity. If you're coming in fresh, we're getting grounded in your reality.
- We talk to your ED, your operations lead, and whoever is stewarding the roadmap. We understand your constraints, your board dynamics, your funding realities, and what success looks like to you.
Deliverable:
- An onboarding summary that grounds our partnership.
Months 2-12: Strategic Cadence
You get a consistent rhythm:
- Bi-monthly strategy sessions (90 minutes, typically). We work through: What's changing? What decisions are you facing? How does this fit the roadmap? What should we decide now, defer, or kill? We help you think through options and move forward with confidence.
- Monthly touchpoints (30-45 minutes). A quick check-in to see what's changed, what questions came up, what you need clarity on. Often this is just a call, or a brief written note.
- Quarterly deep dives (half-day). We step back and look at the whole picture. How's execution going? Do we need to adjust the roadmap? Are there signals we should be paying attention to? What's emerging? We update your roadmap and priorities together.
- Real-time access. You can reach out between sessions with questions. Not every question needs a retainer call, but you're not alone figuring things out.
Beyond Year 1
Most retainer partners continue year after year. The rhythm evolves - as you mature and ownership gets clearer, your needs might shift from strategic guidance to quarterly accountability. But the partnership stays.

The Investment
Starts at $3,300/month (billed monthly or annually; annual commitment available). Larger or complex nonprofits can have additional costs.
Month 1 assessment cost: $2,700 (or $1,350 with 12-month commitment)
That includes: bi-monthly strategy sessions, monthly touchpoints, quarterly deep dives, and real-time access between sessions.

What's Not Included
We're not implementing technology. We're not managing your vendor relationships day-to-day. We're not doing hands-on technical work. If you need implementation alongside strategy, that's a different conversation — some organizations hire implementation partners and we coordinate. Some organizations have internal capacity and we stay strategic. Whatever makes sense for you.
The Timeline & Commitment
Most retainers start with a one-year commitment ($39,600/year). After year one, partnerships are month-to-month or continue on annual terms — most partners renew because the rhythm becomes essential.
Initial onboarding typically takes 4-6 weeks. By month 2, you're in full cadence.

FAQ
Do we need to have completed the Blueprint first?
No. Some organizations come straight to the Retainer if they have a clear sense of their tech strategy. But most find value in the Blueprint first because it gives you the roadmap and governance structure that the Retainer then maintains and evolves. If you're unsure, we can talk through what makes sense for your situation.
What if our priorities shift mid-year?
That's the whole point of having an ongoing partner. If your funding situation changes, or a new opportunity emerges, or your board says "actually, we need to focus on this," we adjust. The roadmap evolves. We don't treat it as a static document. We treat it as a living thing that reflects reality.
What if we need to step back on scope or budget?
We can adjust. Most retainer partners stay committed for the long term, but if you need to pause, shift to quarterly meetings only, or adjust the scope, we can have that conversation. The goal is partnership, not inflexibility.
Do we need a dedicated person on our end?
Ideally, yes. Someone who cares about tech strategy and can hold the roadmap. Often it's your ED, COO, or operations lead. If you don't have someone like that, that's worth talking through — it might be a capacity gap we can help you address.
What happens if our team isn't aligned on tech strategy?
That's actually pretty common. One of the things the Retainer does is surface those misalignments and help you work through them. We facilitate conversations between your ED, COO, and tech leadership. We help you build consensus around priorities. Alignment doesn't happen by accident — it happens through rhythm and real conversation.
What if you recommend something we disagree with?
We'll tell you what we think. We'll tell you why. And if you disagree, that's your call to make. Our job is to be honest and clear, not to be right. Most of the time, partners trust our thinking because we understand nonprofit realities. But this is a partnership, not a directive. You decide.
How is this different from hiring a CTO?
A CTO is usually full-time and deep in implementation. They're running technical projects, managing developers, solving bugs. This is different. We're strategic and part-time. We think through decisions with you, help you stay aligned, and make sure technology serves your mission. If you have a technical CTO and want us as your strategic partner, that works too. Some organizations use us that way.
What if we have questions between sessions?
Reach out. Not every question needs a formal call, but you have access. We keep it reasonable — this isn't 24/7 support — but you're not waiting until the next scheduled meeting to get clarity.
Can we extend the retainer beyond year one?
Yes. Most partners do. After year one, you can continue month-to-month or renew annually. The rhythm usually evolves — early on it's very active, but as your organization matures and your tech strategy becomes embedded, you might shift to lighter touchpoints. Either way, it usually stays because it becomes how you work.
